Position Summary
Based in London UK, the Senior Manager of Events and Marketing is the senior events contact for BAB London. This role is responsible for event management and logistics for the signature and fundraising UK in-person events and collaborative role in the UK/US virtual event portfolio which provides convening and engagement opportunities for existing and potential members, and raises the visibility of BAB by creating discussion on core UK and US trade and policy themes.
The Senior Manager of Events and Marketing works closely with the Executive Director London, and the New York based events and programming team with the overall ambition and task to strengthen and grow the visibility of the organisation through its programme of over 100 events per year to help engage, retain and attract new member companies on the strength of the convening, policy and trade event work. Convening is at the heart of our work and our reputation depends on being visible and relevant to UK and USA businesses and governments.
The role includes a variety of responsibilities, ranging from the logistical execution of all aspects of in-person and virtual events, managing pre- and post-event marketing, member account management directly involved in revenue generating events, managing event budgets profit and loss, and leading on the Transatlantic Growth campaign and Academy series. The Senior Manager of Events and Marketing, London, is an integral part of the BAB team and they work closely with all members of the team, and relevant external stakeholders, event venues and vendors.
Main Responsibilities
Logistical Execution of Events
- Lead and manage the execution of all logistical aspects relating to BAB’s in-person events programme in London (including Gala Event, Thanksgiving Event, Holiday Event, Networking Events, TAG Reception, U.S. Embassy related Receptions).
- Manage external stakeholder relationships including graphic designers, printers, audio visual production, hotels/venues, member venue hosts, photographers, videographers etc.
- Supervise registration and operations at in-person events, oversee staff briefings and volunteer event roles including distribution of name badges, greeting guests, liaison with host, event manager and AV teams, cover late arrivals/replacements, distribution of printed materials, event BAB branding signage, VIP and security handling and briefing leadership on event responsibilities.
- Coordinate with guest speakers including requests for bios/photos, speaker preparation meetings, permission to record, outlook calendar appointments, post event thank you notes and publicity.
- Supervise green room and virtual event management for speakers and guests including setting up the meeting link, meeting specifications, renaming guest names, admitting guests, muting guests, spotlighting and pinning speakers, and managing messaging in chat function.
- Pre-event, complete Risk Assessment forms and working with others, ensure health and safety planning is conducted for all eventualities.
- Project manage large events, timelines and schedules.
- Manage all event registrations including event espresso software, virtual meeting software and sharepoint tracker lists.
- Manage all content providers for BAB’s Academy series.
Pre- and Post-Event Marketing
- Create, manage and edit new content, images, written copy and for all London led events on BAB website and work closely with Communications team.
- Create event marketing materials including invitations, event briefs, joining instructions and detailed speaker briefs.
- Create printed materials including brochures, programmes, event booklets, name badges, place and name settings, holding slides and presentation slides and coordinate with Senior Communications manager and external designers.
- Create / update event sponsorship marketing information, outreach and sales of table bookings for large signature events, manage guest lists, seating plans and fulfilling table sponsor deliverables.
- Coordinate with Communications team the pre and post-event social media marketing including selected photography, interviews and event recordings when permitted and work with Communications team to set a schedule for social media content for larger event campaigns.
- Manage event marketing documents including Calendar of Events, sponsorship pitches/presentations and overviews of data on programmes for BAB’s Annual Meeting and Annual Report.
- Work with Communications team to update the event invitation lists on Constant Contact and work with Executive Assistant to CEO to update Senior Contact List.
- Provide support and guidance to Policy and Trade colleagues on their meetings including providing templates for event briefs and any event related printed materials (including name badges, tent cards, event booklets).
- Provide upcoming event content to Communications team for the bi-weekly e-newsletter.
- Lead and manage logistics and marketing for Academy year 2.
- Lead and manage data from Trade newsletters for TAG Events and Tracker.
- Lead and manage content generation for Event led campaigns including TAG and Corporate Citizenship & Sustainability Series.
Member Account Support
- Support membership accounts within the network to ensure high retention and engagement rate as well as incorporating member feedback through event activities/work.
- Identify future guest speakers/participants from member network and prospect member list.
- Collaborate closely with all colleagues to track and monitor event engagement for all members and provide event engagement data reports via monthly event registration trackers.
Event Budgets Profit & Loss, TAG and Academy Revenue
- Manage individual event budgets with guidance from Executive Director, London and work closely with Office Accountant on issuing event sponsor invoices, table/guest ticket invoices.
- Monitor vendor invoices for approval.
- Manage event invoices and timely collection of outstanding event debtors.
- Sales outreach and lead on TAG sponsorship relationships (including existing and new), invoicing and fulfilling sponsorship benefits.
- Sales outreach to member companies to lead a successful annual Academy series.
Line Management
- Manage and train Events and Marketing Intern. Create a collaborative, inclusive culture and environment for professional development and success with a colleague seeking work experience in events and marketing.
- Encourage proactive research, ideas and contribution to the event portfolio.
- Oversee event partner research including TAG, SMEs, CCSS stories.
- Recruit Interns with established intern programmes (e.g. Northeastern Coop Programme).
- Monitor daily, weekly, monthly performance, and exit reviews.
- Delegate work appropriately.
